Understanding roles and access

Know which areas admins, schedulers, and employees can use in BetterDesks.

Roles control which parts of BetterDesks a person can use. Set the role before inviting employees so people only see the tools they need.

Role overview

  • Admins manage the organization, employees, clients, sites, payroll documents, billing, and settings.
  • Schedulers manage operational data such as schedules, sites, clients, reports, and timesheets.
  • Employees use self-service areas such as schedule, timesheets, documents, and clock-in flows.

Steps

  1. Open the employee record for the person you want to review.
  2. Confirm the role matches the person's responsibility.
  3. Decide whether the person needs app login access.
  4. Save role or access changes before sending or resending an invite.
  5. Ask the user to sign in with the email shown on the employee record.

What good looks like

Admins and schedulers can work in management screens, while employees only see the self-service tools they need for their workday.

Common mistakes

  • Giving scheduler access to a person who only needs to clock in.
  • Enabling login access before the email address is correct.
  • Forgetting that payroll documents and organization settings are admin-only workflows.
