Internal client vs external clients

Understand when to use the protected internal client and when to create external clients.

BetterDesks supports external client work and internal-only operations. The protected internal client exists so internal work can be scheduled without pretending it belongs to an outside customer.

When to use the internal client

  • Internal office or admin coverage.
  • Training, standby, or non-billable operational work.
  • Internal teams that still need scheduling and attendance records.

When to create an external client

  • Work performed for a customer.
  • Locations that belong to a customer contract.
  • Reporting or billing that needs client-level separation.

Steps

  1. Decide whether the work is internal or customer-facing.
  2. Use the protected internal client for internal work.
  3. Create an external client for customer work.
  4. Add one or more sites under the selected client.
  5. Build schedules against the client and site combination.

Common mistakes

  • Editing the protected internal client like a normal customer record.
  • Using one external client for unrelated customers.
  • Skipping client separation when reporting or billing needs it later.
