Billing limits and upgrade prompts

Understand when BetterDesks blocks new employee additions or prompts for billing setup.

Billing limits help keep the workspace aligned with the active plan. When a limit is reached or billing setup is incomplete, BetterDesks may block adding another employee and show an upgrade prompt.

When you may see a prompt

  • Billing has not been set up for the workspace.
  • The current plan does not allow another employee.
  • The workspace needs an admin to update billing before growth can continue.

Steps

  1. Open Employees.
  2. Check whether Add employee is enabled.
  3. If an upgrade or billing prompt appears, open the billing action shown in the notice.
  4. Review the current plan and next required billing step.
  5. Return to Employees after billing is updated.
  6. Add the employee when the limit is resolved.

What good looks like

Admins understand why an employee cannot be added and know which billing action is required.

Common mistakes

  • Trying to work around limits by reusing employee records.
  • Asking schedulers to resolve billing issues they cannot access.
  • Leaving billing setup until onboarding new staff is urgent.
